The quoted price in proposals is subject to availability at the time of booking. Incidentals including but not limited to catering, ground transportation, de-icing charges, hangar fees, international/custom fees, after hours FBO call out fees, extra flight time due to inclement weather, and deviations from the stated itinerary may result in additional charges which will be charged on the final invoice. Delays, interruptions, diversions, or cancelations caused by circumstances beyond the control of Vernon Aviation including but not limited to weather, air traffic control, federal crew rest regulations, and/or mechanical issues, may also result in additional charges and/or expenses. In the event that this trip is not completed because of circumstances beyond the control of Vernon Aviation, the customer will only be responsible for payment of all costs incurred for the completed portion(s) of the trip, which may include charges to return the crew and aircraft to Scottsdale, AZ. Vernon Aviation does not guarantee that an alternate aircraft or transportation will be available, but will make every reasonable effort to locate alternative transportation. Vernon Aviation does not guarantee the price of the alternative transportation. Under no circumstances will Vernon Aviation be responsible for the payment of additional expenses incurred as a result of the delayed, interrupted, diverted, or canceled flight.
Prices, Payments, and Cancellation Policy
The quoted price in proposals is an estimate. The final price will be based on actual expenses and services provided including but not limited to: flight time, standby days, and actual hotel and rental car expenses. All prices quoted herein are accurate on the date quoted, are subject to change without notice, and are valid for 30 days. Full payment must be received prior to the departure date unless you have been pre-approved by Vernon Aviation. Roundtrip reservations cancelled less than 72 hours prior to departure will be charged 50% of the quoted amount. Roundtrip reservations cancelled less than 48 hours prior to departure will be charged 100% of the quoted amount plus any positioning or reposition flight costs incurred, any hotel costs, and any flight planning costs. ALL "ONE WAYS" OR "POINT TO POINT PRICING" (INCLUDING MULTI LEG ONE WAYS) ARE SUBJECT TO A 100% CANCELLATION PENALTY OF THE TOTAL QUOTED AMOUNT ONCE THE TRIP IS CONFIRMED. A no show, or non-notification will be charged the full amount of this quote. Holiday periods are defined as July 4th, November 20th thru December 1st and December 20th to January 6th. Any reservations that are cancelled during the Holiday periods (once the trip is confirmed) will be charged 100% of the quoted amount. Past due amounts are subject to the maximum rate allowed by state law plus collection costs including attorney fees and court costs. Brokers completing an annual Charter Company exemption certificate shall be responsible for the collection/remittance of all applicable Federal and/or State taxes and fees including but not limited to excise tax, arrival/departure fees, Customs and Immigration Air Passenger User fees, and USDA/APHIS fees. All requests for cancelations or itinerary changes must be made in writing via an email sent to firstname.lastname@example.org. Vernon Aviation reserves the right to cancel flights with or without notice. In the event that Vernon Aviation cancels the flight before any portion of the trip is accomplished, a full refund will be issued.
*Departure time is the requested time for the planned flight when the trip begins in Farmington, NM or as needed for the necessary repositioning of the airplane when the trip begins at an airport other than Four Corners Regional Airport.
*Departure time is the requested time for the planned flight when the trip begins in Scottsdale, AZ or as needed for the necessary repositioning of the airplane when the trip begins at an airport other than Scottsdale Airport.
For trips that require the plane to stay overnight at an airport other than Four Corners Regional Airport or Scottsdale Airport: a daily fee of 8 hours of ground time, minus any flight time for the day, will be charged for aircraft unavailability and pilot standby time, and an additional fee will be charged daily for pilot per diem (To include, at least, the actual hotel and rental car expenses, and local meal per diem).
Flight Crew Duty Limitations
The Federal Aviation Administration (FAA) limits crew duty time. If the trip schedule extends beyond the FAA mandated duty restrictions for any reason, the customer shall be responsible for additional crew rest fees and aircraft fees. Vernon Aviation shall be held harmless for any losses due to the modifications in the schedule due to crew duty/rest requirements.
Customer will be responsible for any and all costs of cleaning, restoring, and/or repairing damages beyond normal wear and tear to the interior of the aircraft from use of the aircraft.
Per Federal Regulations all passengers over 18 years of age are required to present a valid government issued photo ID to the flight crew prior to boarding the aircraft.
All Vernon Aviation flights are non-smoking flights.
The weight and size of baggage may be limited due to space, weight or other factors. Standard carry-on sized bags work well with the limited baggage area and weight restrictions. Larger bags may not fit in the baggage area or be allowed onboard due to weight restrictions.
Vernon Aviation must give prior approval before pets are allowed onboard the aircraft.
Food and Drink
Vernon Aviation requests that any food and beverage catering requests be made at least 72 hours before the scheduled departure. Vernon Aviation reserves the right to decline food and beverage requests onboard the aircraft. We normally provide water and light snacks; however, it can’t always be guaranteed due to uncontrolled circumstances.
Prohibited Items & Dangerous Goods Policy
Federal law prohibits Vernon Aviation from transporting hazardous materials. Items such as explosives, compressed gases, oxidizers, corrosives, flammable liquids and solids, loaded firearms, radioactive materials and poisons are considered hazardous. Some common examples of prohibited items include paints, mace/tear gas, lighter fluid, oxygen bottles and fireworks. Knives or sharp objects you may need in your travels should be placed inside your baggage and declared with the crew prior to boarding. Transportation of Hazardous Materials
Federal law forbids the carriage of hazardous materials such as aerosols, fireworks, lithium batteries, and flammable liquids aboard the aircraft in your checked or carryon baggage. E-cigarettes are not permitted in checked baggage and must be transported in carryon baggage only. By signing, you acknowledge that you understand the hazardous materials restrictions and penalties. Customer will be held responsible for any legal consequences or damage that might occur due to violation of these policies. Maintenance Recovery Policy
In the event a maintenance issue grounds an aircraft, Vernon Aviation will make every effort to offer another aircraft at the contracted price. The use of a substitute aircraft may require a delay from the original ETD. If a substitute aircraft is not available, or if the delay involved in repositioning the substitute aircraft is more than three hours, the client, in certain circumstances, will be allowed to cancel any portion of the contract that has not yet been flown. Vernon Aviation will invoice only for the portion of the itinerary that was flown by Vernon Aviation, and will not discount the invoice due to the service interruption caused by a maintenance event. Vernon Aviation will not be responsible for reimbursing the client for any costs associated with finding and using an operator other than Vernon Aviation to complete the portion of the itinerary not flown by Vernon Aviation.
Vernon Aviation shall not be liable for any damage or loss incurred during standard aviation operations. Under no circumstances will Vernon Aviation's liability exceed any amount paid by Vernon Aviation's insurer or be responsible for lost profits, or special or consequential damages.
